Terms of Use
Rules for using bookvelis.com and booking travel services with BookVelis Travel Group LLC in Wyoming.
Effective date: These Terms of Use govern access to bookvelis.com and the travel agency services offered by BookVelis Travel Group LLC, a Wyoming limited liability company located at 1603 Capitol Avenue, Suite 310, Cheyenne, WY 82001, Laramie County, Wyoming, United States.
Acceptance of Terms
By visiting bookvelis.com, creating an inquiry, communicating with our team, or purchasing services, you agree to these Terms of Use and our Privacy Policy, Cookie Policy, and Disclaimer, each incorporated by reference. If you disagree, do not use the site or services. For corporate accounts, an authorized signatory must accept these terms on behalf of the organization, and that signatory represents that they have authority to bind the entity to payment and travel policies described herein.
We may update these Terms of Use periodically to reflect changes in law, supplier requirements, or our business practices at the Cheyenne office. The revised version will be posted on bookvelis.com with an updated effective date. Your continued use after changes constitutes acceptance unless applicable law requires a different process for certain consumers, in which case we will follow that process before enforcing new terms against you.
These Terms of Use apply to all visitors, whether you reside in Wyoming, another U.S. state, or abroad, except where mandatory consumer protection rules in your jurisdiction conflict, in which case those rules govern to the minimum extent required.
Electronic acceptance includes clicking submit buttons on bookvelis.com, signing PDF proposals returned by email, or paying invoices that reference these Terms of Use. If you book by telephone, our agent will confirm that you agree to supplier rules and agency fees before charging your card, and a written itinerary summary may restate key terms for your records under Laramie County business practices.
Description of Services
BookVelis Travel Group LLC acts as a travel intermediary. We research itineraries, prepare quotes, reserve flights, accommodations, tours, insurance, and related products with third party suppliers, and provide advisory support before, during, and after travel where contracted. Unless expressly stated in a written agreement, we are not the operator of aircraft, hotels, vehicles, or attractions, and we do not employ flight crews or hotel housekeeping staff at destination properties.
Services are offered subject to supplier availability, fare rules, and our capacity during Mon through Sat, 8AM to 7PM Mountain Standard Time, except by special arrangement for urgent after hours emergencies tied to active travel that we already manage. Information on bookvelis.com is summary in nature; binding terms appear in confirmations, invoices, and supplier contracts that reference locator codes and ticket numbers.
We may introduce new digital tools on bookvelis.com, such as client portals or document libraries. Those tools are part of the services and remain subject to these Terms of Use unless a separate agreement explicitly states otherwise for enterprise clients headquartered outside Laramie County.
User Accounts and Responsibilities
If we provide login credentials for a client portal in the future, you must keep them confidential and notify [email protected] immediately if you suspect unauthorized access. You are responsible for the accuracy of information you supply. Errors in names, dates, or passport numbers may result in denied boarding or extra fees; review all confirmations promptly and report discrepancies before ticketing deadlines pass.
You may not share account access with competitors seeking to scrape pricing, nor may you use automated tools to overload bookvelis.com or circumvent rate displays intended for human travelers planning leisure or business trips. We may suspend access for conduct that jeopardizes security, harms supplier relationships, or violates export control rules when itineraries include sensitive destinations.
Corporate travel arrangers must ensure that each traveler profile reflects current contact information so that our Cheyenne team can reach someone during weather events or schedule changes affecting group departures from Wyoming or other hubs.
Booking and Payment Terms
Quotes are not confirmed until deposits or full payments are accepted and suppliers confirm inventory. Prices may change until ticketing or hotel confirmation occurs due to currency shifts, fuel surcharges, or promotional windows that expire. You authorize BookVelis Travel Group LLC to charge agreed amounts to the payment methods you provide, including service fees disclosed before purchase and chargeback fees if a bank reverses a valid charge without proper dispute procedures.
Travel documents may be delivered electronically to email addresses you supply. You must print or save mobile boarding passes as required by carriers. Failure to pay balances by stated deadlines may result in automatic cancellation per supplier rules, forfeiture of deposits, and reinstatement fees if space can be rebuilt at higher fares.
Invoices issued from our Wyoming office show applicable state and local taxes when we are required to collect them on agency fees or packaged arrangements taxed under current law. You are responsible for any use tax reporting on your side if your organization’s accounting policies require it for trips booked through [email protected] or [email protected].
Wire transfers and ACH payments must include reference numbers provided by our accounting team so that funds are matched to the correct reservation file before supplier deadlines. Delays in clearing may cause automatic cancellation even if you initiated the transfer on time but your bank held the funds.
Gift certificates or promotional credits issued by BookVelis Travel Group LLC, if offered, may not be redeemed for cash unless required by law and must be applied toward new bookings before any printed expiration date. Combining multiple promotions on a single reservation may be limited when supplier contracts prohibit stacking discounts that would drive net fares below published floors.
Cancellation and Refund Policies
Cancellation, change fees, and refund eligibility depend on supplier fare rules, promotional restrictions, and insurance coverage you purchased. BookVelis Travel Group LLC passes through supplier policies and charges agency fees stated in your quote or invoice. Nonrefundable components remain nonrefundable unless a supplier grants an exception or insurance covers the loss under the policy terms you selected.
If suppliers issue future travel credits instead of cash refunds, those credits are subject to supplier terms and expiration dates. We will help you apply credits when possible but cannot guarantee unlimited extensions or transfers to other travelers when the supplier prohibits name changes.
When government orders or public health emergencies prevent travel, remedies depend on supplier policies, insurance, and any goodwill gestures negotiated industry wide. BookVelis Travel Group LLC will advocate for you but cannot override contracts between you and carriers unless those contracts or regulations provide mandatory refunds.
Charge disputes initiated with your bank without first contacting our Cheyenne office may result in cancellation of pending bookings and closure of your client profile if we determine the dispute was filed in bad faith after services were rendered as confirmed.
Acceptable Use
You agree not to misuse bookvelis.com: no unlawful activity, harassment of staff, fraudulent payment attempts, scraping of content for competing commercial databases without permission, or introduction of malware. You will not impersonate another traveler or submit false health information that could endanger participants on group tours coordinated from Cheyenne or from supplier meeting points abroad.
We may cooperate with law enforcement and suppliers to investigate suspected fraud involving bookings tied to Wyoming, other U.S. states, or international routes. Harassment includes repeated abusive communications directed at agents after they have explained supplier limits in writing.
You may not use our brand, logo, or itinerary descriptions from bookvelis.com to imply endorsement of political campaigns, investment schemes, or unrelated products without written permission from BookVelis Travel Group LLC management at Suite 310.
Intellectual Property
All text, graphics, logos, itineraries, photography licensed to BookVelis Travel Group LLC, and site layout on bookvelis.com are protected by copyright and trademark laws. You may view and print pages for personal trip planning. You may not reproduce large excerpts for commercial redistribution, create derivative works that confuse consumers about our brand, or remove proprietary notices from PDFs we send you.
Trademarks of third parties appearing on our site belong to their owners. Limited fair use for commentary may apply under federal law, but you must not imply endorsement by BookVelis Travel Group LLC without written consent. User generated content you submit, such as trip photos for testimonials, grants us a license to display it on bookvelis.com and marketing materials unless you opt out in writing before publication.
No Professional Travel Guarantee
Recommendations from our advisors are based on experience and supplier information at the time of consultation. They do not constitute legal, medical, or immigration advice. Entry requirements, health advisories, and safety conditions change; you must verify details with official sources before departure. We do not guarantee specific outcomes such as visa approvals, upgrade success, favorable weather, or on time performance by any carrier.
Estimated connection times and minimum layovers we suggest are planning aids, not promises that airports will not reassign gates or that customs will process lines quickly during peak arrival banks.
Disclaimer of Warranties
bookvelis.com and our services are provided on an "as is" and "as available" basis to the maximum extent permitted by law. BookVelis Travel Group LLC disclaims implied warranties of merchantability, fitness for a particular purpose, and noninfringement regarding site content and third party supplier performance, except where disclaimers are prohibited by Wyoming or federal statute for certain transactions.
We do not warrant uninterrupted, error free access to the site or that defects will be corrected immediately, though we strive for reliable hosting from U.S. based providers serving our Wyoming office. Temporary outages during maintenance windows will be communicated on bookvelis.com or by email when feasible for clients with active departures within forty eight hours.
Limitation of Liability
To the fullest extent permitted by Wyoming law, BookVelis Travel Group LLC is not liable for indirect, incidental, special, consequential, or punitive damages arising from site use or travel services, including lost profits, lost data, missed meetings, or emotional distress, except where liability cannot be excluded for gross negligence or willful misconduct as determined by a court of competent jurisdiction in Laramie County or another appropriate venue.
Our aggregate liability for direct damages relating to a specific booking shall not exceed the total fees paid to BookVelis Travel Group LLC for that booking, unless a higher minimum applies under nonwaivable law. Supplier liability caps may further limit recovery; see confirmations for carrier conditions of carriage and hotel contracts.
We are not liable for acts or omissions of independent contractors, tour guides, or drivers unless we selected them negligently after ignoring known safety red flags reported in publicly available government travel advisories that you were also responsible to review.
Indemnification
You agree to indemnify and hold harmless BookVelis Travel Group LLC, its members, managers, employees, and contractors from claims, losses, and expenses, including reasonable attorneys' fees, arising from your breach of these Terms of Use, your negligence, or your violation of law while traveling on an itinerary we arranged, except to the extent caused by our gross negligence or willful misconduct as finally adjudicated.
Corporate clients agree to indemnify us for claims brought by their employees or guests related to internal policy disputes, provided we followed the travel parameters the authorized signatory approved in writing.
Governing Law
These Terms of Use are governed by the laws of the State of Wyoming, without regard to conflict of law principles that would apply another jurisdiction's laws. You agree that Laramie County and the State of Wyoming have a substantial relationship to this agreement because BookVelis Travel Group LLC operates from Cheyenne and pays taxes in Wyoming related to agency revenue.
If a provision of federal law preempts state law on a specific issue, federal law controls to that extent, but the remainder of these Terms of Use remains enforceable where severable.
Dispute Resolution
Most concerns can be resolved by contacting [email protected] or +1 (307) 243-8961 during business hours. If informal resolution fails, you agree first to attempt mediation with a mutually acceptable mediator in Wyoming before initiating litigation, unless emergency injunctive relief is necessary to prevent irreparable harm or you qualify for small claims court within monetary limits established by Wyoming rules.
Any litigation not subject to mandatory arbitration clauses in supplier tickets shall proceed exclusively in state or federal courts located in Wyoming, and you consent to personal jurisdiction there. You waive any objection to venue in Laramie County except where federal law requires a different forum for specific regulated claims.
Class action waivers may apply where permitted by law for disputes related to website use; if a court finds the waiver unenforceable, the remainder of dispute resolution provisions still apply to the maximum extent possible.
Nothing in this section prevents you from filing a complaint with a government consumer agency that has jurisdiction over travel agencies operating in Wyoming or from reporting suspected fraud to law enforcement; those administrative channels are separate from private mediation or litigation between you and BookVelis Travel Group LLC.
Termination
We may suspend or terminate access to bookvelis.com or decline future bookings if you breach these Terms of Use, fail to pay amounts due, create risk to staff or suppliers, or misuse promotional codes intended for first time clients. Provisions that by their nature should survive, including intellectual property, limitation of liability, indemnity, and governing law, survive termination.
You may stop using our services at any time before new bookings are confirmed; existing bookings remain governed by supplier rules and these Terms of Use until travel is completed and balances are settled.
Severability
If any provision of these Terms of Use is held invalid or unenforceable, the remaining provisions remain in full force, and the invalid provision shall be modified to the minimum extent necessary to reflect the parties' intent under Wyoming law while preserving the economic balance of the agreement.
Changes to Terms
We may revise these Terms of Use to address new products, legal requirements, or risk management practices at our Cheyenne headquarters. Material changes affecting price, liability, or dispute resolution will be highlighted on bookvelis.com or communicated to active clients when feasible before the revised terms apply to new bookings.
Grandfathering of old terms may apply to trips already deposited before the change date if required by law or by our goodwill policy announced at the time of revision.
Archived versions of these Terms of Use may be available upon request for clients who need to compare obligations across booking dates, subject to reasonable retrieval effort from our Cheyenne records.
